Job Description (Roles and Responsibilities)

The Office of the Northern Ireland Executive (ONIEB) in Brussels was established in May 2001 and it was set up to strengthen Northern Ireland’s relationship with the European Union. It provides a central liaison point between Northern Ireland (NI) Ministers and the EU Institutions and with European countries and regions. It assists and facilitates NI Departments in their relations with European bodies and aims to ensure that Northern Ireland’s interests are represented in negotiations and decision making. The office is part of the wider family of the UK Permanent Representation to the European Union and is now looking for an administration and Finance Assistant. The successful candidate will join the ONIEB team and report to the Events and Visits Manager. Good time management, a proactive approach, flexibility and a sense of responsibility will be essential in order to appropriately balance competing demands. Excellent customer focus is also important, as the role involves communication with Belgian suppliers.

This is a varied and interesting role, providing a combination of administrative and events support across the Team.

In more detail, main responsibilities will include:

  • Providing general administrative support to a diverse team including: procuring and ordering office supplies, assisting with diary management, maintaining databases, greeting visitors; setting up meeting rooms, looking at arrangements and logistics for the use of the space. Liaising with stakeholders and visiting groups regarding external request to use meeting rooms;
  • Work as part of the team - help in the organisation and smooth running of the office events;
  • Financial support; filling, keeping database up to date, invoicing stakeholders. Assisting in monitoring the office budget. Office contracts follow-up - Liaising with external suppliers and service providers;
  • Providing cover for the office reception and PA to the Head of Office; including screening incoming and outgoing e-mail, information flows, document creation, and monitoring follow-up as necessary, managing phone calls.

Essential qualifications, skills and experience

  • Fluency in English (both oral and written);
  • Fluency in French or Dutch (both oral and written);
  • A college/university level degree in any subject;
  • Strong IT skills - sound working knowledge of Microsoft Office;
  • Excellent organisational and office management skills;
  • Discretion and good judgement;
  • Confident and professional in communicating with people at all levels.

Desirable qualifications, skills and experience

  • Knowledge of Northern Ireland affairs;
  • Experience working in an office environment;
  • Previous experience of successful office management;
  • Experience of budget management.

Other benefits and conditions of employment

This is a permanent full-time contract for 5 working days (36.25 hours net) per week. Although the appointment is for an indefinite period of time, it is expected that the overall period of service will most probably not exceed two years. This point will be addressed during the recruitment process.

The monthly gross salary for this position is € 2,630.18 A1 (L) level (The British Diplomatic Missions in Belgium salaries are not subject to annual indexation).

Please note that Belgian nationals will be paid their salary gross and are expected to comply with their tax obligations through completion of a tax return to the Belgian authorities. Non-Belgian nationals will receive their salary net, minus the deduction of an equivalent level of Belgian tax retained at source. Further information on this will be given to candidates during the recruitment process.

The successful candidates will be subject to professional background checks and security clearance.

Staff recruited locally by the British Diplomatic Missions in Belgium are subject to Terms and Conditions of Service according to local Belgian employment law.

Visa/passport requirements: must currently hold the independent right to live and work in Belgium and be prepared to ensure that right remains throughout the scope of the contract.
