This is an exciting opportunity to join the European Hub of Coventry University in Brussels, and to proactively support the European and international priorities of the Coventry University Group.

This role will provide administrative support to the Director of the European Hub and the wider team (Research Manager and Enterprise/Innovation Manager).

Main tasks and responsibilities:

  • Provide a high level of administrative support to the Director of the European Hub and the team, ensuring effective diary management, travel arrangements and preparation for meetings;
  • Support the smooth running of office operations, liaising with service providers both internal and external to solve office operational issues including payroll, human resources and finance;
  • Deal with enquiries in person, by telephone or email, in French or English (and if possible in Dutch);
  • Prepare documents, presentations, spreadsheets and graphs, together with non-standard correspondence for internal and external distribution;
  • Provide administrative support to the recruitment, staff induction and staff development activities of the European Hub;
  • Support the marketing and communication activities of the European Hub, including working closely with the Marketing and External Affairs Team as required/appropriate, and using social media;
  • Administer and contribute to the organisation of events, conferences, seminars, staff away days and formal meetings hosted by the European Hub in Brussels and other locations as appropriate.

Qualifications and experiences:

  • Sound administrative experience gained in an office environment;
  • Experience of diary management and dealing directly with external clients and customers;
  • Ability to deal with local suppliers and relevant authorities;
  • Ability to work effectively and accurately under pressure and to prioritise workload;
  • High level of tact and diplomacy and ability to demonstrate confidentiality;
  • Proficiency in English and French; knowledge of Dutch would be advantageous;
  • Eligibility to work in Belgium.
