About the role

The 2050 Pathways Platform department of ECF is looking for an administrative assistant to support the team during a 6 months maternity cover. The priority of this role is to provide support to the Finance and Grant officer with all administrative tasks.

Key responsibilities

  • Support the team in expense submission;
  • Check the correct accounting allocation of salaries and costs;
  • Collection of due diligence documents on new and existing grantees;
  • Collect grant requests and ensure all information is provided and complete (proposal, budget, KPI matrix) and upload in ECF’s internal grant management system;
  • Manage the initial due diligence check of new grantees and consultants and ensure that the grant management platform FLUXX is up to date;
  • Monitor grants through review of grant reporting (financial and narrative reporting);
  • Handle grant payments in close relation with the Finance department;
  • Monitor grant closing activities;
  • Support teams with usage of core systems and tools;
  • Other related administrative tasks related to the grant management process.

Experience and competencies

  • Experience and competencies;
  • Strong interest in climate and the environment;
  • At least 1 year in a similar administrative/operational position in a fast-moving environment;
  • Proficiency with office software such as Microsoft Outlook, Excel, PowerPoint, OneNote, Teams;
  • Strong attention to detail and accuracy, organised and methodical;
  • Prior experience with data entry, validation and interpretation;
  • Flexibility and capacity to prioritise and manage own workload;
  • Tactful with colleagues and discrete with high-level information;
  • Excellent written and oral communications skills, including fluent spoken and written English.
