Mission
The Office & Facilities Coordinator is responsible to deliver office management in an efficient manner in our daily office operations to ensure a high quality, comfortable, safe and efficient working environment for all staff, customers and visitors.
Main responsibilities
- Oversee daily operations (including troubleshooting, fleet management, meeting rooms, etc.), pro-actively collect and respond to stakeholders’ feedback to ensure good quality of services and nice working environment;
- Manage and negotiate all contracts related to facilities/Office management in order to have best quality of service at proper price, building strong long term relationships;
- Regularly review options in terms of service providers to keep sound competition and quality of service;
- Build and follow budget for the area of Facilities/Office Management;
- Participate in the wellbeing spirit by managing properly sports activities and any other ideas that might be connected to the office/facilities area to boost morale of our employees;
- Continuous improvement of the day-to-day in our offices;
- First Point of Contact for office/facilities management both internally and externally, communicating/sharing needed information pro-actively to all parties;
- Lead all training activities related to office/facilities management (1st aid, fire brigade, evacuation drills, etc.) and ensure the legal requirements are met.
Your profile
- At least 4 years of relevant administrative officer/facilities experience, familiar with administrative workflow, office supplies and soft services procurement process and enterprise asset management;
- Strong sense of responsibility, flexibility and professionalism;
- Good organization, coordination and communication skills;
- Strong analytical and problem-solving skills;
- Resilient and solution driven, no non-sense mindset, practical;
- Service minded;
- Fluency in oral and written English.
