The Council of Bars and Law Societies of Europe (CCBE) represents the Bars and Law Societies of 46 countries and, through them, more than 1 million European lawyers. As a representative body, the CCBE plays a vital role in defending the rule of law, human rights, and access to justice.

The CCBE is looking for an enthusiastic and professional Office Manager to ensure the smooth daily functioning of the organisation and contribute to a supportive and efficient working environment. We are seeking a dynamic and proactive individual who can lead administrative operations with professionalism and discretion, while coordinating support staff, overseeing key internal processes, and liaising with external service providers.

Main responsibilities

Office administration:

  • oversee daily office operations, including management of contracts, insurances, supplies, and maintenance of premises;
  • act as the first point of contact for service providers and administrative authorities;
  • ensure effective communication and workflow in administrative matters;
  • supervise administrative staff;
  • allocate tasks and ensure quality and timeliness of administrative deliverables.

HR & staff support:

  • manage staff records, leave tracking, coordinate onboarding and offboarding processes, and liaise with payroll/HR service providers;
  • supervise office rules and procedures;
  • organise internal trainings and staff development activities.

Financial & bookkeeping support:

  • handle invoices and expense tracking;
  • prepare financial documentation for external accountants and auditors;
  • monitor budgetary aspects and act as secretary of the CCBE Finance Committee.

Governance administration & event coordination:

  • ensure compliance with relevant Belgian legal requirements for international non-profit associations (AISBL);
  • coordinate the organisation of the CCBE’s statutory meetings and other events, including venue and catering contracts, as well as travel arrangements;
  • coordinate the maintenance of accurate and up-to-date membership records.

Required qualifications & experience:

  • Minimum of three years of relevant professional experience in office administration, HR support, or operations management (experience in an international or EU-focused setting is an asset);
  • Proficiency in French and English, any other language being an asset;
  • Strong organisational skills;
  • Proficiency with standard office software (e.g., Microsoft 365, Excel, digital filing systems); familiarity with basic bookkeeping or accounting software is a plus;
  • Experience and/or strong interest in digital tools is an asset.
