JOB OVERVIEW
KOMIS is looking for a dynamic and motivated Finance and Office Assistant to join our team in Brussels. In this key support role, you will work closely with the Finance and Office Manager to ensure the smooth functioning of our financial and administrative operations.
Your responsibilities will include maintaining accurate financial and administrative records, supporting project financial monitoring, contributing to internal processes, and helping to ensure the efficient coordination of office logistics and compliance-related tasks. KEY RESPONSIBILITIES
Financial Administration and Support
- Assist in the processing of invoices, payment and timesheets;
- Support the encoding and filing of payments, bank statements, and financial documents in line with internal procedures;
- Assist in the preparation of documentation for external accountants and auditors;
- Help ensure that all financial documents are properly stored for audits.
Project Logistics and Financial Support
- Provide administrative support to the Finance Manager and Project Managers in tracking project budgets and expenditures;
- Assist in the collection and organisation of documents for financial reporting;
- Provide logistical support;
- Support the verification of expense eligibility in line with client and internal rules.
Office Administration
- Monitor and maintain office supplies and equipment inventory;
- Assist in managing service providers, including cleaning, maintenance, and IT support;
- Support the organisation of procurement processes and the follow-up of service contracts;
- Organise office events, and handle related logistics and catering;
- Support drafting and implementation of office policies, ensuring regulatory compliance, and support health and safety protocols.
Internal Coordination
- Support the implementation of internal procedures and the application of financial and administrative policies;
- Assist in scheduling meetings, preparing documentation, and drafting standard correspondence related to finance and office administration.
Filing and Documentation
- Ensure all financial and office-related documents are properly filed, labelled, and archived (physical and digital);
- Maintain organised and up-to-date databases for contracts, payments, and office inventory.
QUALIFICATIONS AND SKILLS
- Bachelor’s degree in accounting, finance, administration, or a related field;
- Previous experience in a similar administrative or finance support role is an asset;
- Good command of MS Office (particularly Excel); familiarity with accounting software is an advantage;
- Strong attention to detail and organisational skills;
- Ability to work independently while coordinating closely with the Finance and Office Manager;
- Professional working proficiency in English and French;
- Valid working permit for Belgium.
