Reception
- Act as a point of contact for callers, email inquiries, and visitors; respond and relay information promptly and professionally;
- Assist visitors with practical needs such as Wi-Fi access, document printing, taxi bookings, and other support as required;
- Serve as contact for participants using the meeting centre;
- Carry out various office tasks (e.g., sending documents, receiving and dispatching mail and packages).
Meeting coordination
- Support the communication, booking, logistics, and catering arrangements for meetings held in the meeting centre;
- Maintain a good understanding of the audiovisual equipment in the meeting rooms and provide basic user support; liaise with suppliers when technical assistance is needed;
- Coordinate with external providers regarding services and room set-up when required;
- Work closely with staff organising events to ensure smooth logistics and compliance with internal event policies.
General support
- Assist with staff meetings, lunches, team-building activities, and internal events as needed;
- Provide administrative support to operations teams for ad-hoc requests.
Requirements
- A degree in office administration/secretarial studies or equivalent, and/or, minimum two years’ experience in a similar role;
- Service- and people-oriented, strong people skills, and a hands-on approach to solving problems;
- A professional attitude, neat appearance, and warm interpersonal style;
- Excellent command of English and French (oral and written);
- Able to work independently and within a team in a multicultural environment.
