The Senior Business Assistant will support the BeLux Country Manager and will be based in Waterloo. The individual in this role will not only be a member of the BeLux team, but you will also coordinate operations within the function and will become a member of the Business Assistant community at Mastercard.
Role
- Perform general administrative duties to support day-to-day department operations: phone coverage; scheduling internal and external meetings; travel arrangements; expense reporting; maintaining and managing complicated calendar scheduling; generating copies; screening mail; filing; providing coverage for team members; help and support organizing events; ordering supplies and maintaining department and company records;
- Handle internal and external inquiries by screening calls, answering questions and redirecting to appropriate personnel;
- Serve as administrative liaison with others within and outside the company ; ensure effective communications on behalf of the Team;
- Independent preparation of correspondence; memoranda; reports; presentations or other assigned documentation in specified software package;
- Assist with managing and/or tracking expenses;
- May research special topics; develop and produce reports as assigned;
- Prepare correspondence; memorandum; reports; presentations or other assigned documentation in specified software package;
- Administer programs; projects or processes specific to the operating unit served; and maintains spreadsheets or databases to monitor departmental information;
- Develop and produce reports as assigned
All About You
- Expert Administrative experience in a corporate environment interfacing with executive level management, directors and senior customers;
- Demonstrated ability to manage time; track and execute upon multiple commitments;
- Ability to exercise discretion and appropriately handle confidential information;
- Excellent customer service skills and ability to work in a team setting;
- Intense attention to detail with strong verbal and written communications skills;
- Thrives in an environment where priorities are constantly changing;
- Good decision making and proactive problem solving skills;
- Ability to analyze what is needed, learn how to find the information requested and respond promptly;
- Proficient knowledge of MS Office Suite including expertise in Outlook; strong Word & PowerPoint skills; good Excel skills;
- Fluent in English - French and/or Dutch are a plus;
- Dynamic, open minded, having a strong team and collaborative mindset;
- Experience in Finance department is an asset.
