As an Executive Assistant, you’ll work across teams, support leadership, and take ownership in a role where no two days look the same. You’re the kind of person who keeps things moving, whatever comes your way.
Expect a lot of variety in this role. You’ll support different teams across the company, with a strong focus on assisting our CEO and other directors. The main part of your responsibilities are dynamic and ad hoc, including events and cross-functional projects. You take initiative wherever needed and are someone who jumps in, takes ownership, and keeps things moving.
Key responsibilities:
Executive Support
- Support our CEO, directors, and broader leadership team with calendar management, travel planning, and supplier research.
- Assist with the processing, follow-up, and signing of vendor and supplier contracts.
- Act as a go-to support across teams handling a wide variety of operational and ad hoc requests. You take ownership of ad hoc projects, ensuring smooth execution and follow-up.
Hospitality
- Be the warm and professional face of Peripass for visitors and colleagues at our Ghent HQ.
- Act as the first point of contact for incoming calls, ensuring smooth and efficient routing.
- Manage and distribute incoming mail and packages, keeping office operations running smoothly.
Event Support
- Take ownership of the operational side of events and support the teams with researching, booking and coordinating for both internal and external.
- Support the organization of our Peripass on Tour concept, coordinating suppliers and locations.
Job requirements

- You have your first experience in a support role.
- You hold a Bachelor’s degree or have an equivalent level through experience.
- You thrive in a fast-paced, ever-changing environment where priorities shift quickly. You take ownership and initiative: you don’t wait, you act.
- You love variety and feel comfortable handling a mix of administrative, operational, and ad hoc tasks.
- You are highly organised yet flexible: you know how to prioritize and keep a clear overview when things get busy.
- You are a strong and discreet communicator, capable of collaborating across teams while handling confidential information with care.
- You are service-oriented and get energy from helping people.
- Languages: You speak English at a full professional level; any additional language is a plus.
- You are based in Belgium and are open to working full-time from our office in Ghent.
