Job Purpose

The Finance Officer reports to the Head of Finance and provide support in accurately managing and controlling IRC Belgium and IRC Switzerland finances.

The role includes support to the HQ Accounts Payable and Accounts Receivable and to the Global Treasury teams. Regular communication with external stakeholders and IRC staff globally will be a key part of the role.

The ideal candidate will be efficient, diplomatic, and possess strong interpersonal skills to effectively engage with senior staff.

Major tasks and responsibilities

  • Prepare/review journal entries/invoice journals in Microsoft D365. Ensure proper coding;
  • Review and encode staff travel expense reports;
  • Maintain the accounting database. Control and monitor all transactions throughout the month and initiate adjustments if necessary;
  • Support in vendor payments;
  • Monitor vendor accounts to ensure no outstanding payables or receivables;
  • Participate in the month end closing process (payroll journals, credit card reconciliation, invoices, expense reports);
  • Support in fixed assets register maintenance;
  • Prepare monthly financial reports, bank reconciliation, balance sheet reconciliations;
  • Support the Head of Finance in the preparation of annual financial statements;
  • Facilitate external and internal audits as needed; assist in preparing all documents/samples requested by internal/external auditors;
  • Optimally communicate financial topics and facilitate discussions with finance and non-finance staff, including regular trainings for new staff members;
  • Foster ongoing learning and promote adherence to IRC policies & values;
  • Support in communication with internal and external partners;
  • Perform other duties as needed, including inventory maintenance, assisting colleagues with meeting organization, consulting staff on office supplies and workspace needs, and maintaining these accordingly. Support ethical sourcing of items, considering sustainability and cost criteria. Carry out other administrative tasks essential for the smooth operation of the Belgian office;
  • Provide ad-hoc support to the Global Treasury team on day-to-day activities;
  • Support HQ Accounts Payable team by pulling payment confirmations for global audits and weekly payment runs;
  • Support HQ Accounts Payable and Accounts Receivable teams by assisting with quarterly data reviews to ensure documentation quality.

Person specification

Essential qualifications, skills and experience

  • Strong Microsoft Office Excel required;
  • Confirmed experience in accounting;
  • Ability to carry out work with a high degree of integrity and maintain confidentiality;
  • Precision and attention to details;
  • Flexibility to work with different time zones;
  • Strong interpersonal and communication skills;
  • Ability to handle workload and prioritize as per agreed timelines;
  • Excellent command of English and French required.

Desirable qualifications, skills and experience

  • Degree in accounting, finance, or business;
  • Solid understanding of accounting software such as Microsoft D365 is a plus.
