The Job

As a Payroll & HR Administration Officer, you play a key role in delivering accurate and timely payroll processing and personnel administration for our international workforce. You act as a trusted partner for employees, managers, external payroll providers, and benefit partners, ensuring a smooth employee experience while maintaining compliance with local regulations.

Your Mission

Payroll Administration

  • Coordinate and manage payroll processes across multiple countries and legal entities.
  • Collect, validate, and process payroll data in collaboration with external payroll providers.
  • Prepare payroll inputs and ensure all required information is submitted accurately and on time.
  • Monitor payroll calendars, deadlines, and monthly payroll cycles.
  • Manage Belgian payroll administration, including the mobility budget.
  • Ensure payroll activities are executed accurately, on time, and in line with local legislation.
  • Maintain accurate payroll documentation, reports, and records.

HR & Personnel Administration

  • Maintain and update employee data in SAP and other HR systems.
  • Manage personnel administration throughout the employee lifecycle, including onboarding, contract amendments, employment changes, leave administration, and offboarding.
  • Coordinate employee benefits and insurance plans, including enrolment, changes, and annual renewals.

Employee Support & Stakeholder Management

  • Serve as the first point of contact for payroll and HR administration questions.
  • Provide professional and accurate support to employees and managers.
  • Build effective relationships with external payroll providers, insurance partners, and internal stakeholders.
  • Build strong relationships with your Hexagon counterparts and collaborate to align payroll and HR administration processes where appropriate.

Continuous Improvement & Compliance

  • Monitor and resolve payroll and HR administration issues proactively.
  • Stay up to date with changes in payroll, employment, and social legislation.
  • Support process improvements and contribute to the optimization of payroll, HR administration, and HR systems.
  • Support HR projects related to payroll, digitalization, and process optimization.
  • Promote best practices in data quality, compliance, and operational efficiency.

Your Qualifications

Experience & Background

  • Minimum 5 years of experience in Belgian payroll administration.
  • Strong knowledge of Belgian social legislation.
  • Experience working with external payroll providers.
  • Experience with international payroll is a strong plus.
  • Experience with SAP or other HRIS/payroll systems is an asset.

  • Excellent organizational and planning skills, with the ability to manage multiple deadlines.
  • Good communication skills and the ability to explain complex topics clearly.
  • Comfortable working in a fast-paced, international environment.
  • Fluent in English; Dutch is an asset.
