The Global CCS Institute is an international think-tank backed by governments, businesses and NGOs. Our mission is to accelerate the deployment of carbon capture and storage (CCS) globally. We have offices located around the world and are seeking an Administration Manager to join our Brussels office on a full-time, 3-year fixed term contract basis.

Reporting to the General Manager Advocacy and Communications, the Administration Manager manages the day to day operations of our Brussels and London offices and supports local staff and the Advocacy team. This role suits a true all-rounder who enjoys a wide breadth of responsibility including administration, finance, events, facility management, compliance, HR and IT support.

Responsibilities include

  • Work closely with the Business Services team based in the Melbourne head office to manage local finance, HR and IT related matters, such as:
    • Finance related tasks for the Brussels and London offices, such as accounts payable and receivable, credit cards, account and payroll reconciliations, and other regional finance and compliance activities;
    • Local HR requirements, such as employee on boarding and off boarding, benefits administration and compliance;
    • In conjunction with third party providers, processing payroll for the Brussels and London office;
    • IT support including laptop set ups and coordination of assets; and
    • Desk-based support and research as required.
  • General advocacy and communications support, including event and webinar coordination;
  • Administration duties, including creation of documents and presentations, calendar management, travel management and reporting; and
  • Office, facility and local third-party provider management.

You will have

  • A positive attitude with a willingness to assist and support;
  • Demonstrated experience in an administrative role with accounts payable/receivable functions and accounts/payroll reconciliations; and
  • An aptitude for technology and demonstrated experience with MS Office (Word, PowerPoint, Excel, Outlook), finance management systems (MYOB Advanced preferrable) and CRM tools (Zoho CRM preferrable).

You might also have

  • Experience in running webinars and event coordination; and
  • Proficiency in Dutch and or French.
