Director of Finance (EMEA Region)

Position Summary:

To strengthen the capacity of IAAPA EMEA to support the industry by building and sustaining the administrative, membership and governance activities of the association. To make the administrative services of IAAPA EMEA run smoothly, allowing the rest of the team to concentrate on their own tasks and roles.

Responsibilities:

Manage all financial transactional activity, including accounts payable, accounts receivable and payroll and ensure that all financial transactions and journal entries are recorded accurately in accordance with organization policies as well as United States GAAP and Belgian regulations – concretely:

  • Carry out all banking, invoicing and payments processing for IAAPA EMEA;
  • Conduct monthly and quarterly account reconciliations to ensure accurate reporting and ledger maintenance;
  • Coordinate semi-annual audits and assist Controller with conducting audits;
  • Reconcile bank accounts for all Belgian accounts;
  • Work closely with HQ develop procedures to improve efficiency;
  • Financial liaison for local VP assisting with budget, forecast, and monthly financial reporting;
  • Issue invoices and follow up with exhibitors, members, event participants in a timely manner;
  • Keep track of and pay bills incl. reimbursements to staff etc.;
  • Encoding in accounting system (income and expenditure: invoices, bank slips, monthly payrolls etc.);
  • Manage day to day activity with bank, insurance companies and brokers, Belgian/European regulatory/registration bodies etc.;
  • Proceed to quarterly VAT returns, issue annual tax slips and prepare the closing of the accounts;
  • Ensure that annual, management, project and event accounts are available with the outsourced accounting company;
  • Provide financial content for our EU tradeshows and events including reporting and any new VAT applications;
  • Keeping abreast of rules and regulations pertaining to Belgian AISBL/IVZW;
  • Ensures compliance with all IAAPA policies and procedures as outlined in policy manuals and in accordance with local statutory requirements;
  • Comply and understand Generally Accepted Accounting Principles (GAAP) for financial statements;
  • To develop additional policies and procedures according to the programs in order to control the processes, with support of IAAPA HQ;
  • Other duties as assigned include the overall support of the VP and Executive Director with regards to: overall business administration support such as budget management, travel bookings, HR (contract and payroll management including absences approval), administrational onboarding of new staff and overall office management.

Qualifications:

  • Manage and process payroll and employee benefits including Social Secretariat and employee benefit providers, pensions provider;
  • Obtain professional advice and services such as legal, IT service providers, HR specialists;
  • Three years of relevant experience working in an AISBL/IVZW in Belgium, preferably with a variety of previous employers giving breadth of experience and international aspect;
  • Efficiently dealing with outsourced service providers and administrative services including financial, administrative, legal, fiscal, regulatory and human resources;
  • An experienced user of Excel and a good knowledge of accounting software principles;
  • Producing financial reports from accounting systems;
  • Can identify needs and create new service arrangements when required;
  • Excellent communication skills in English and an official Belgian language (currently most official contracts and documents are set up in Dutch);
  • Bring structure to tasks, self-learner, giving high attention to detail, places emphasis on accuracy and timeliness of reporting and administration, following through on all requests and inquiries;
  • Flexible, able to adapt to current needs and developments, work independently as well as collaboratively with different levels of members and employees across the organization especially with Headquarters in the US;
  • Fit into a dynamic, multicultural and enthusiastic team.
