Recruitment: Execute all hiring activities in Workday. (e.g. job requisition, staffing, onboarding).
Prepare, draft and publish internal job posting announcement at site level.
Enter all applicants in applicant tracking system (Workday and/or offline tracker), follow up their application status. Send automatic reply messages for respective applicants during the recruitment cycle.
Schedule/organize technical interviews and HR interviews accordingly.
Collaborate with internal HR mobility team as well as external service providers in case of relocation/work & residence permit needed and ensure transactions are done in a timely manner.
Run ad-hoc recruitment reports in Workday.
Onboarding Prepare and send welcome email to the new comer at least 1 month in advance of official employment start date, ensure an inclusive and welcoming environment.
Follow up with new comer required hiring documents as a part of onboarding administrative process.
Follow up on each new comers with managers and dedicated support function to ensure a qualitative onboarding: onboarding checklist, Company badge, IT equipment & network accesses are ready.
Draft and publish local organizational announcements for new comers.
Schedule and organize onboarding/company introduction sessions in collaboration with presenters.
Employee TransferPrepare transfer letters accordingly.
Follow up each employee transfer in order to ensure the reliability of headcount report, provide information to site HR operations on time.
Draft and publish local organizational announcements in case of people move.
Offboarding Coordinate employee exit process with employee and manager (notification period, end date of employment, remaining vacation days etc.).
Schedule exit interview meeting with employee, ensure that all assigned Company assets are brought back by employee on last day of employment date.
Coordinate and follow up whole offboarding process with respective internal stakeholders (IT, safeguard, reception, fleet management, HR operations, finance etc.).
Files Maintenance Ensure that all necessary core HR related documents are filled and stored properly within employee's personnel file. No official document to be missing in case of need.
Tracking Accuracy Enter new hiring/staffing information to the internal site HR tracker. No actions to be pending. No item missing for payroll integration.
Enter employee transaction (transfer/one time payment/salary change etc.) information to the internal site HR tracker. No actions to be pending. No item missing for payroll integration.
Enter departure/termination information to the internal site HR tracker. No actions to be pending. No item missing for payroll integration.
Workday Data Entry & Data Accuracy Maintain Workday data entry & process integrity. Close follow-up for in progress employee transactions (onboarding, transfer, offboarding, c&b changes etc.) in Workday. No items in payroll reconciliation to be pending. Work closely together with site HR operations team to ensure data accuracy.
Administrative support for employees. Prepare employment work certificate when necessary (business travel, end of employment, any other reasons etc.).
Paternity/Maternity/Parental LeaveManage parental leave request and coordinate with relevant stakeholders (both eternal and internal). Prepare parental leave addendum paperwork, follow up with government authorities, enter all parental/maternity/paternity leave in offline tracker as well as in Workday system.
People Analytics & Reporting Collect, analyze and report people analytics when necessary.
Support and assist HRBP for ad-hoc reports.
Required Qualifications
Educational Background: Master degree in HR, business or related studies.
Years of Relevant Experience: 3-5 years’ experience in related area (HR Analyst, HR Assistant etc.) within a matrix & complex environment is an asset.
Languages: English. Any other European language is an asset.
Required Technical Skills: Workday, Microsoft Office (Excel, Powerpoint, Word, Outlook) applications.
